Name the brand, project and current stage. Distinguish an inquiry from an accepted agreement and an approved draft from published work. Include the latest agreed deadline and explain any disputed point. Someone joining the project should not have to infer its status from the order of messages in an inbox.

Identify the owner of each file and the person who can answer questions. Share only the access needed for the project; do not send unrelated personal, financial or other athletes’ information.

A new representative should not independently promise a changed fee, date or usage scope because an old message looks informal. Update the brand’s contact information only after everyone understands the transition.
Worked example
Fictional example: A gymnast has a product video due in two weeks and begins working with a representative. The handoff note says the first draft was sent, sponsor feedback is due Friday and advertising rights remain unresolved. The representative takes over scheduling but routes the rights question for review. The athlete remains responsible for filming the revised draft; neither side assumes the handoff changed the agreement.

Before your next step
Test the handoff by asking whether someone could name the next action without opening every attachment. If not, improve the summary. Keep the original project history intact and make corrections visibly. For agreement, tax or eligibility questions, involve the appropriate qualified person rather than treating the handoff as their approval.
